September 13, 2021

Friends,

In consultation with the Department of Defense and to ensure the best possible 2021 Air, Space & Cyber Conference, AFA is instituting new, enhanced requirements to protect the health and safety of all attendees and limit the spread of COVID-19.

To obtain a badge and attend the conference in-person, attendees will be required to present:

  • For DAF and non-DAF attendees, proof of vaccination, such as a vaccine card or digital vaccine passport, indicating the attendee is fully vaccinated against COVID-19. For DAF personnel, see Department of Air Force guidance for attendance to ensure you comply.

OR

  • For non-DAF attendees only, proof of a negative test result from a COVID-19 test obtained within three days of arrival at the conference venue

No exceptions will be made. Individuals unable to present the required documentation should update their registration to a virtual-only option.

We strongly urge registrants to make use of advance badging on Saturday and Sunday September 18-19. Please bring your proof of vaccination or negative test results and a valid government-issued ID. During this time, badges may also be picked up for a colleague by providing all of the following:

  • Colleague’s confirmation email with barcode or the colleague’s registration number
  • A copy of their vaccination card or—for non-DAF attendees only—a copy of their negative test result

Note: Your colleague will not be able to re-print the badge during peak registration periods; it is your responsibility to deliver early badges to their rightful owner.

In addition, as previously stated, AFA and the Gaylord National are following health protection requirements set forth by Prince George’s County, Md., mandating all attendees wear masks indoors, except while eating or drinking.

We recognize these requirements are inconvenient and that changing them at this late date may present a hardship to some. However, in keeping with our theme for this year’s conference “Air and Space Leadership for our Nation - Today and Tomorrow,” we must accept that leadership in pandemic times requires extra precautions and sacrifice by all. Prudent measures such as these are the only way we can ensure the safety and health of our participants and the full participation of the Department of the Air Force.

After two consecutive virtual conferences, we join you in the excitement and anticipation of AFA’s 2021 Air, Space & Cyber Conference as a welcome return to in-person meetings.

Thank you for your understanding. We look forward to seeing you there!

Sincerely,

Gerald Murray, 14th Chief Master Sergeant of the Air Force (Ret.), Chairman

Lt Gen Bruce “Orville” Wright, USAF (Ret.), President

New COVID Requirements

  1. Is a photo of a vaccination card sufficient or will we require the actual Passport?
The original is preferable, but a photo is acceptable, so long as your name, the name of the vaccine, and the dates are all clear in the image, and the name matches your ID.
  2. What kinds of COVID test are accepted?
A molecular PCR (polymerase chain reaction) is preferred. If not available, an antigen test administered by a pharmacy, lab, or medical professional is required.
  3. I was surprised to see that you can pick up someone else’s badge given the vaccine/testing requirements.
It does not say that a government-issued ID is needed in order to confirm ID, badge and vaccine card/test all match. When picking up a badge for someone else, you must have a copy of the vaccine passport and the government-issued ID to confirm that they match.
  4. Will there be testing available on-site?
No. There will not be testing facilities on-site. If you are not vaccinated and need a test to attend, you must arrange for that on your own and receive a negative test result prior to arrival.
  5. Is there was a U.S.-approved app for the digital vaccine passport or is that only for international attendees?
We are looking for verifiable proof that attendees were vaccinated. A paper record, a pharmacy or medical app (such as from your health insurer or pharmacy), or apps like CommonPass, Clear, or VeriFly are all acceptable.
  6. Is there an online/ upload submission option to submit proof of vaccine/covid test?
Unfortunately, we are not equipped to review these electronically at this time.
  7. What digital vaccine passports is AFA accepting?
We are looking for verifiable proof that attendees were vaccinated. A paper record, a pharmacy or medical app (such as from your health insurer or pharmacy), or apps like CommonPass, Clear, or VeriFly are all acceptable.
  8. I misplaced the original vaccine card, but I have a picture of the vaccine card.  Is a picture of my vaccine card acceptable?
The original is preferable, but a photo is acceptable, so long as your name, the name of the vaccine, and the dates are all clear in the image, and the name matches your ID.
  9. Where can I get a rapid COVID test nearby?
    Urgent Care
    Sameday Health
