JOB SUMMARY:

Reporting to the Director of Sales, the Sales Specialist is responsible for performing accounting data entry/reporting, drafting contracts, monitoring, and analyzing website metrics and other essential support functions to enhance the daily operations for the sales team. As an integral member of the team the coordinator is a thought partner that is the primary communication liaison with vendors, point of contact for special programs, digital advertising, and marketing initiatives.

ESSENTIAL FUNCTIONS:  

Administrative Support (approximately 50% of effort): 

  • Track deliverables for sponsorship and advertising
  • Draft contracts/insertion orders, process completed contracts/insertion orders
  • Track and record invoices for payments, maintain accurate records
  • Maintain sales spreadsheets and databases (SalesForce)
  • Track deliverables for sponsorship and advertising, create new tracker sheets as needed
  • Manage internal budgets for all sponsored initiatives
  • Provide content support for website content updates
  • Create standard operating procedures to ensure continuity of workflow processes

Program Support (approximately 40% of effort):

  • Clearly communicate program expectations and goals, including internal and external deadlines and approval process for program deliverables
  • Create and oversee timeline of program deliverables, which will be shared with each sponsor and the cross-departmental team responsible for implementation of deliverables
  • Responsible for overall project management for all sponsored initiatives for current and future program initiatives which includes coordination with cross-departmental team, to ensure delivery of specifications and high standards
  • Schedule and track advertising and sponsorship programs
  • Generate and maintain monthly metric reports, and provide data to essential stakeholders
  • Track sponsorship deliverables / prepare and send emails to clients as requested to collect the necessary information
  • Manage internal budgets for all sponsored initiatives

Other Duties as assigned (approximately 10% of effort)

Education and Experience Required:

  • Bachelor’s degree in Communications, Business Administration or a related field or equivalent work experience

Education and Experience Preferred: 

  • Experience in events, logistics, project management or similar area 
  • 3+ years’ experience in project coordination / event planning
  • Knowledgeable about digital advertising and marketing including creating newsletters, website, and social media
  • Knowledge and experience with ad management systems and / or the ability and desire to learn and adopt this skill
  • Business acumen, including understanding development of and adherence to budgets
  • Excellent verbal and written communications skills
  • Excellent interpersonal and presentation skills
  • Ability to problem-solve and develop short and long-term solutions
  • Ability to be creative and assist in the development of complex events, along with attention to details
  • Strong organizational and ethical practices
  • Project management skills
  • Proficient with Microsoft Office and familiar with or able to learn additional business software
  • Knowledge and understanding of the intricacies of sponsorship and program implementation 

Certifications & Licenses Required: 

  • None. 

WORKING CONDITIONS: 

  • Works out of Air & Space Forces Association’s headquarters in Arlington, VA. 
  • Office hours are 8:30 a.m. to 5:00 p.m. Monday to Friday, subject to modification based on the needs of each program or site. 
  • Operates in a professional office environment with travel to local offices, community partners, and events. 
  • Routinely uses standard office equipment such as computers, phones, copiers, filing cabinets and fax machines. 
  • Must be able to work overtime and travel as needed. 

Physical Demands: 

  • The position requires sedentary work (sitting most of the time with no adverse environmental exposure) and occasional exertion of up to 25 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. The position also includes the following physical requirements: 
  • Movement. The employee in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc. 
  • The employee in this position needs to be able to operate a computer and other office productivity machinery such as a copy machine and printer. 
  • The employee is required to communicate and hold verbal conversations with others by means of the spoken word. Employee must be able to exchange accurate information in these situations.
