Event Participant Agreement, Release, and Waiver of Liability
Behavior:
AFA is committed to providing a respectful, safe, productive, and welcoming environment for all meeting participants in-person and virtually. All participants, including but not limited to registrants, speakers, exhibitors, service providers, and AFA staff are expected to abide by this Registrant Agreement (Agreement). This Agreement applies to all Warfare Symposium (WS) meeting-related events, including those sponsored by organizations other than AFA but held in conjunction with WS events, on public or private settings/platforms.
AFA has zero-tolerance for any form of discrimination, intimidation, or harassment by participants or our staff at our meetings. If you experience harassment or hear of any incidents of unacceptable behavior, AFA asks that you inform Amanda Grandel, Vice President, Events and Operations, agrandel@afa.org or 703-247-5819 so that appropriate action may be taken.
Unacceptable Behavior is defined as:
- Harassment, intimidation, or discrimination in any form.
- Verbal abuse of any registrant, speaker, exhibitor, service provider, or AFA staff member. Examples of verbal abuse include, but are not limited to, verbal comments related to gender, sexual orientation, disability, physical appearance, body size, race, religion, national origin, inappropriate use of nudity and/or sexual images in public spaces or in presentations or threatening or stalking any participant.
- Disruption of presentations during sessions, in the exhibit hall, or at other WS events. All participants must comply with the instructions of the moderator and any WS staff.
- Presentations, postings, and messages containing promotional materials, special offers, job offers, product announcements, or solicitation for services. AFA, in its sole discretion, reserves the right to remove such messages and potentially ban sources of those solicitations.
- Participants copying or taking screenshots of Q&A or any chat room activity that takes place in the virtual space without prior consent of the host of the space and all other participants.
- Use of login credentials by other than the individual registering for WS.
AFA reserves the right to take any action deemed necessary and appropriate, including immediate removal from the meeting without warning or refund, in response to any incident of unacceptable behavior. Additionally, AFA reserves the right to prohibit participation at any future meeting, virtually or in-person.
Consent:
By attending the event, you acknowledge that your image may be captured on video or in photos taken on behalf of AFA. You further provide AFA the right to use candid group photos or videos without securing additional permission, provided those images are not accompanied by further personally identifying information. Please note:
- Photos and/or recordings cannot be copied, altered, sold, exhibited, or further distributed without AFA’s prior written consent.
- Photos and/or recordings are the exclusive property of AFA.
- AFA may post photos and/or recordings on AFA’s official social media pages during and after the conference.
In addition, no disruptions due to photography and/or recording shall be allowed, and violators may lose attendance privileges including immediate removal from the meeting without warning or refund, in response to unacceptable behavior. This includes personal professional photography equipment and applies to attendees, exhibitors, sponsors, speakers and vendors.
Liability:
In consideration of my participation at the 2026 Warfare Symposium (the “Event”), which is hosted by one or more members (the “Member Hosts”) of Air & Space Forces Association (AFA), I hereby release, discharge and hold harmless AFA and its officers, directors, employees, members, and agents, and the Member Hosts, from any and all liability that may arise, directly or indirectly, now or in the future, by reason of any injury, damage, loss, or expense incurred in connection with my participation in the Event.
I hereby attest that I am fully aware that the AFA is not responsible in any manner for the planning or conduct of the Event, or any activities thereunder.
I understand and agree that alcohol may be served at the Event. I further understand and agree that any and all consumption or use of alcohol by an Event participant is wholly the participant’s own personal responsibility. Access to alcoholic beverages is strictly optional; no Event participant is required or expected to consume alcohol. I understand and agree that neither AFA nor the Member Hosts will assume any responsibility whatsoever should I, or another Event participant, choose to consume alcohol, and I understand that alcohol is a drug which can cause serious health consequences and unacceptable behavioral manifestations.
I agree to hold harmless, indemnify and defend AFA, its officers, directors, employees, members, and agents, and the Member Hosts, from and against any and all liability, claims, actions, damages, costs, or expenses, including reasonable attorneys’ fees, that may arise, directly or indirectly: (i) out of or in connection with the use or consumption by me of alcohol while I am a participant in the Event; (ii) out of or in connection with my use of the facilities provided by AFA and/or the Member Hosts; or (iii) in connection with my participation in the Event.
This Release and Waiver of Liability shall be binding on my heirs, executors, administrators, successors, and assigns.
I HAVE READ AND UNDERSTOOD THIS RELEASE AND ENTER INTO IT IN CONSIDERATION OF THE OPPORTUNITY TO PARTICIPATE IN THE EVENT.
